Privacy Policy

eMenu is operated by Helpro Limited. For the personal information described in this policy, Helpro Limited is the organisation responsible for deciding how and why it is used. You can reach us through our Contact page (/contact).

When you place an order with a restaurant through eMenu, that restaurant also receives your order details and is responsible for how it uses them. We provide the platform the restaurant uses to run its menu and orders.

If you are a restaurant owner or team member

• Account details: your name, email address and password. Passwords are handled by our authentication provider and are not stored in readable form.
• Restaurant details you enter: restaurant, branch and table information, opening hours, menu items, prices, descriptions and photos, logos and cover images.
• Team and plan details: who has access to your restaurant account and which plan you are on.
• Your activity in the dashboard, such as orders you update, so the platform works and stays secure.

If you are a diner ordering from a table

• Order details: the dishes, quantities, notes, table and time of your order.
• Optional contact details: a name and phone number if you choose to give them at checkout. They are optional.
• A cart session token stored in your browser. It is a random code that lets your device keep its cart and follow its own orders. It is not your identity and is not tied to your name.

If you just visit our website

• Technical information that our hosting provider records when you load a page, such as IP address, browser type, device type and the pages requested. This is used to deliver the site, prevent abuse and fix problems.
• Preferences you set, such as light or dark theme and your chosen area (see Location below).

If you contact us

• Your name, email address and the message you send through the contact form, so we can reply.

We only use your device's location if you choose "Use my current location" and allow it in your browser. We use it to show restaurants near you. Your coordinates are used in your browser to work out which restaurants are closest, and your chosen area is remembered on your device so you don't have to set it every time. We do not store your location on our servers, and you can clear it at any time from the location menu or by clearing your browser data.

• To provide the service: show menus, take and display orders, run restaurant dashboards and keep accounts secure.
• To communicate with you about your account, your orders and the service, and to reply to your messages.
• To send marketing or product updates only where you have chosen to receive them. You can change this at any time in your notification settings.
• To keep the platform safe, prevent fraud and abuse, and fix errors.
• To improve eMenu, for example by understanding which features are used.
• To meet legal obligations and to establish or defend legal claims.

We do not sell your personal information. We share it only as described here:

• The restaurant you order from receives your order details and any name or phone number you provided.
• Service providers that help us run eMenu. These currently include our database, authentication and file storage provider (Supabase) and our website hosting provider (Vercel). They process information only on our instructions and to provide their service.
• Authorities or other parties where the law requires it, or where needed to protect people or rights.
• A buyer or successor, if our business or part of it is sold or reorganised. We would tell you and the new owner would be bound by this policy.

We use a small number of cookies and browser storage items that are needed for eMenu to work, such as keeping you signed in and remembering your cart. Our Cookie Policy (/cookies) lists each one.

We keep personal information only as long as we need it for the purposes above. Account information is kept while your account is active and is removed or anonymised after you ask us to delete it, unless we must keep some of it by law. Order records may be kept so that restaurants can maintain their own business and tax records. Contact messages are kept for as long as needed to handle your request and our follow-up.

We protect information with encryption in transit, access controls, and database rules that keep each restaurant's data separate from others. No online service can be completely secure, so please use a strong, unique password and tell us straight away if you think your account has been misused.

Depending on where you live, you may have the right to access the personal information we hold about you, have it corrected or deleted, object to or restrict certain uses, withdraw consent you have given, and receive a copy of your information. Data protection laws in the countries we serve, such as Kenya's Data Protection Act, 2019, give these rights in different forms.

To use any of these rights, contact us through our Contact page (/contact) and choose "Privacy or data request". We may need to confirm who you are before acting on a request. If you are unhappy with how we respond, you can complain to your local data protection authority.

Our service providers may process information in countries other than your own. Where that happens we rely on appropriate safeguards so that your information stays protected.

eMenu is not directed at children under 18, and restaurant accounts are for adults. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

We may update this policy as eMenu changes. We will change the date at the top of this page and, for significant changes, tell you in the product or by email.
